Manage Agent Training Screen

Overview: The Manage Agent Training screen allows Admin users to insert and update My Purpose Training details for an Agent and sync the data with Salesforce in real time, either for a single Agent or for multiple Agents at once.

 

Steps for the Manage Agent Training Screen:

 

1.    The Manage Agent Training screen is split into two separate tabs:

a.    Manage Training for an Agent

b.    Manage Training for Multiple Agents

 

Manage Training for an Agent tab

 

1.    Click the Arrow icon on the Manage Training for an Agent tab to expand the tab section.

2.    When expanded, the following fields display in the Agent Search section:

a.    DOI Agent ID

b.    NPN

c.     First Name

d.    Last Name

e.    KOG ID

3.    Click Reset to clear all fields in the Agent Search section.

4.    Click Search to display the Search Results section with the following details displayed:

a.    Agent Name

b.    DOI Agent ID

c.     NPN

d.    KOG ID

e.    Select an agent

                                         i.     Displays the Select button to select the Agent the user would like to manage training for.

5.    In the Search Results section, click the Select button next to the correct Agent. When clicked, the Continue button becomes enabled.

6.    Click Continue. This displays the Training Review view of the Manage Training for an Agent tab.

7.    At the top of the Training Review view, the selected Agent’s First Name, Last Name, DOI Agent ID, NPN, and KOG ID are displayed.

8.    Below the Agent’s details, a message is displayed along with the Add Training button. Based on if the Agent has already completed their My Purpose training for the current year, one of the following two messages are displayed:

a.    If the Agent has already completed their My Purpose training for the current year, the following text is displayed: “This agent had already completed the ‘My Purpose’ training for the current year (YYYY-YYYY). If you still wish to add training for this agent, please click on ‘Add Training’.”

b.    If the Agent’s required training has not been completed for the current year, the following text is displayed: “Add a new ‘My Purpose’ training record only if the agent already completed in ‘My Purpose’ for the current year (YYYY - YYYY).”

9.    Click Add Training to add a training record to the Training Details table.

10.Within the new training record, select Full or Refresher in the Training Course column.

11.Enter the Training Completed Date.

12.The Training Status always displays as Completed.

13.In the Action column, the  icon is displayed if the training record was received via My Purpose batch. The icon is displayed if the record was added as an Admin user. On click of this icon, the Admin user can edit the record.

14.Once the training is added, click Save. An Alert pop-up displays confirming the user entered verified training details. Click Continue to receive a Success or Failed pop-up indicating if the training record was successfully added or not. In the Success or Failed pop-up, click OK.

a.    When OK is clicked in the Success pop-up, the user is navigated back to the Manage Agents Training default landing page.

b.    When OK is clicked in the Failed pop-up, the user is navigated back to the Manage Agents Training - Training Review screen will all values retained.

 

Manage Training for Multiple Agents tab

 

1.    Click the Arrow icon on the Manage Training for Multiple Agents tab to expand the tab section.

2.    To upload training information for multiple Agents, users must click the MyPurposeTraining_Template hyperlink to download an excel. Then users must fill out the template with the following details for the Agents:

a.    DOI Agent ID

b.    NPN

c.     KOG ID

d.    Training Course

e.    Training Completed Date

f.      Training Status

3.    Once the template is completely filled out, users must save the file to their local computer.

4.    In the Manage Training for Multiple Agents tab, click Upload to the My Purpose Training template.

5.    Once the template is selected, the following text is displayed below the Upload button: “File ‘MyPurposeTraining_Template.xlsx’ is attached for Upload”.

6.    Click Submit to submit the training updates and save them into Agent Portal.
